The situation

What your reception desk shouldn't be spending time on

Thursday, 12:55pm, lunch break at a dental practice. Two messages arrive through the website: ‘do you take private and public insurance?’ and ‘my son has his first check-up next week, what does he need to bring’.

Both are fair questions and both take half a minute to answer. But they arrive when your team is with patients, and each one interrupts something else.

That's what a chatbot is good for. Anything to do with symptoms, test results or treatment, it isn't, and that's exactly how we set it up.

What the bot answers

It knows what you give it and nothing more. In practice that's mostly the questions reception answers every day anyway.

If your practice uses Calendly, Google Calendar or Outlook, the bot can offer appointments directly. If you use other booking software, it links to it or takes down an appointment request for your team to call back.

What it will not do

The bot gives no medical advice. It doesn't diagnose, doesn't judge how urgent something is and doesn't recommend medication. If someone describes symptoms, it refers them to the practice, and in an emergency to 112 or the out-of-hours medical service on 116117.

You set that reply as a fixed Q&A pair so the wording never drifts. Before going live, try typical questions about pain, tablets or blood results in the Playground and check how it responds. We're glad to go through it with you.

Data protection in a practice

Health data is a special category of personal data, and a chat should be treated with that in mind. Data is stored on servers in Germany/the EU, connections are TLS-encrypted, and you get a data processing agreement from us. Conversations aren't used to train AI models, not by us and not by OpenAI or the other providers.

Our advice anyway: don't ask for diagnoses, test results or insurance numbers in the chat, and say so in the welcome message. Admin goes in the chat; anything medical goes to a conversation with you. Whether it fits your data protection setup is best checked with your data protection officer.

Patients who don't speak much German

If someone writes in English, Turkish or Polish, the bot replies in the same language using the information from your German pages. For directions and opening hours that makes a real difference, because on the phone it gets difficult fast.

Can the bot tell a patient whether they should come in?

No, and that's deliberate. It gives no medical assessments and refers anyone describing symptoms to the practice or the out-of-hours service. You decide the exact wording.

Is it GDPR-compliant for a medical practice?

My-Chatify is set up to be GDPR-compliant: hosting in Germany/the EU, TLS encryption, a DPA, no AI training on your data. How you use the chat in your practice, and what you ask patients for, is still something to agree with your data protection officer.

Does it work with our online appointment system?

Calendly, Google Calendar and Outlook are connected directly. With other systems, the bot gives the link or takes down the request with a name and phone number.

Can patients order repeat prescriptions through the chat?

The bot can explain how repeat prescriptions work at your practice. Taking orders through the chat is your call; from a data protection point of view we'd stick with your existing process.
