Monday, 8:05 am. The inbox is full from the weekend. One customer wants to change her billing address. Another wants to know if his return arrived. Three emails further down, someone else asks about the billing address again, a little less politely this time.

The hard complaint is rarely the problem. Your team can handle that. It's the stream of small questions whose answers already sit on your website or in a PDF somewhere, just not where the customer happens to be looking.

Answers that come from your own material

You give the bot whatever your support team already relies on: PDFs, Word files, plain text, your website as a URL, or individual question-and-answer pairs. For every question it searches those sources first and only then writes a reply. If the answer isn't there, it says so. It doesn't guess.

Replies appear in the chat as they're being written, in whatever language the customer uses. Someone who writes in Dutch gets a Dutch answer, even if all your documents are in German. To keep things current, the bot can re-crawl your website automatically every day, week or month.

The tax advisers Heppe Steinborn Henczka use it exactly this way. Their bot handles questions about deadlines and document checklists, and new clients receive the right checklist through a flow. The result was 56 % fewer phone follow-ups during tax season.

Automating the requests that always follow the same pattern

Some requests need more than an answer. To deal with a complaint, your team needs an order number, an email address and maybe the purchase date. In the Flow Builder you drag and drop the questions the bot should ask and set the order. Nobody has to write code.

Inputs are checked as they come in. An email address without an @ won't be accepted, and a date has to actually be a date. Depending on the answer, the flow branches, so a warranty question goes one way and a billing question another.

We run our own software support on My-Chatify. That bot is trained on our documentation, changelog and FAQ, answers 2,100 questions a month on its own, and first-level tickets at PixelConsult have dropped by 47 %. The analytics also list every question it couldn't answer. In our experience that list is the most useful report of all, because it shows quite precisely what's missing from the docs.

Sometimes a customer just wants to talk to someone. Or the case is too fiddly for a bot, like a goodwill decision on a late return. That's when the bot hands the conversation over to your team.

Your team replies in real time from the My-Chatify inbox and can see everything that was said before. The customer doesn't have to explain it all again. New handovers trigger a notification, so nobody has to sit watching the inbox all day.

Will the chatbot replace our support team?

No. It takes over the questions whose answers are already written down somewhere. Anything that needs judgement or a bit of tact goes to your people via handover.

What happens when the bot can't answer something?

It says it doesn't have that information instead of making something up. If the customer wants a person, it hands over to your team. The question also appears in the analytics under unanswered questions, so you can see what content is missing.

Can we correct wrong or vague answers?

Yes. The quickest way is a question-and-answer pair, where you store the right answer to a specific question. Or you improve the document the bot took its answer from. Afterwards you can check the result in the Playground.

Do we need a developer?

No. Setup, content and flows are all done in the interface, and embedding takes one short script tag. If you'd like a hand, our team in Dortmund is happy to set it up with you.

Where is our data stored?

On servers in Germany and the EU, with TLS-encrypted connections. Each assistant has its own separate knowledge base. We provide a data processing agreement (DPA) as well.
