When the question arrives after hours

Sunday, 8:40 pm. A customer is on the sofa with a new appliance and can't find the setting the brochure mentioned. He searches your website, ends up on three different pages and finally writes an email. The earliest anyone reads it is Monday morning.

The answer has been in your manual all along, on page 14. He just didn't find it. And on Monday your team answers the same question twice more.

How an answer comes together

My-Chatify uses a method called RAG. For every question, the bot first looks up the relevant passages in your documents. Only then does the AI model turn them into an answer. The knowledge comes from your sources; the model just makes the sentences readable.

Each assistant has its own separate database for this. What you give one assistant never shows up in another, and it is not used to train AI models. The answer appears word by word as it is written, so the customer can see straight away that something is happening.

If the bot finds nothing suitable in your sources, it says so politely and points the customer to your support team, for example. There is no absolute guarantee with AI. That's why a thorough test before launch is part of the job.

What the bot needs from you

Ideally, whatever your team looks things up in. FAQs, user manuals, help pages, shipping and returns terms. You upload PDFs, Word files or text, or simply enter your website address. Processing usually takes a few minutes, up to 15 minutes for large amounts of data.

For questions where every word matters, there are question-and-answer pairs. You enter the question and exactly the answer you want. That works well for notice periods or anything that needs to be worded with legal care.

From the Basic plan, the bot can re-crawl website sources automatically, daily, weekly or monthly. Only content that has changed is processed again. Uploaded PDFs, on the other hand, you replace yourself. If last year's price list is still in the uploads, the bot will quote last year's prices.

Evenings, weekends and in Dutch

The bot has no office hours. It answers at 11 pm just as it does on a bank holiday. If nobody from your team is around, there's nobody to hand over to either. In that case it answers what's in its sources and is honest that everything else needs your team.

Customers don't have to write in German or English. The bot replies in the language it is asked in, even if your documents only exist in one language. The chat window interface is available in German, English, French, Spanish, Italian and Dutch, and you can set the welcome text and speech bubble separately for each language.

Checking answers, before and after launch

Before any customer sees the bot, you test it in the Playground, a chat window just for you. Ask it the questions from your inbox, including the awkward ones. If an answer is wrong, improve the document or add a question-and-answer pair.

After launch, the analytics show which questions come up most often and which ones the bot couldn't answer. That second list is your to-do list for the coming weeks. You also decide which AI model powers the bot. You can choose from models by OpenAI, Google Gemini and Anthropic, with the more capable ones in the paid plans.

Can the bot really not make things up?

It's built to search your sources before every answer and to answer only from them. If there's nothing suitable, it says so. There's still no absolute guarantee with AI, so test it in the Playground with real customer questions before it goes live.

How long until the bot knows my documents?

Usually a few minutes. With large amounts of data, processing can take up to 15 minutes. After that you can try it out in the Playground straight away.

What happens when our FAQs change?

If your FAQs are on your website, the bot re-crawls them automatically from the Basic plan, daily, weekly or monthly. Uploaded files you replace yourself and then start a new training run.

Do we need to translate our documents?

No. The bot replies in the language the customer writes in, even if your documents only exist in German. The chat window interface is available in six languages.

Can a person take over when the bot gets stuck?

Yes, from the Basic plan, through live chat. The bot hands the conversation to your team, and your team sees the full history in the inbox. Our live chat page explains how that works in detail.
