Between the chat and the calendar

Thursday, 6:45 pm, an energy consultancy. A homeowner asks in the chat whether a renovation roadmap makes sense for his house, built in 1978. The bot answers from the consultancy's documents. Then he'd like an appointment.

Without automations, the conversation ends here with "Please call us tomorrow". Maybe he will. And even then, the next morning someone types his name and number out of an email and suggests three dates by email, none of which suit him.

Capturing leads at the right moment

You decide when the bot asks for contact details. With a form before the chat, if you want to capture every contact. After several messages, if helping comes first. Or in the middle of a conversation via a flow, as soon as someone wants a quote. On WhatsApp, Instagram and Facebook, a lead can also be created automatically from the channel.

Email addresses and phone numbers are validated along the way. In the lead list you see every contact together with the conversation it came from.

Booking appointments directly in the chat

With a calendar connected, the bot shows free slots in real time and the customer picks one. Calendly, Google Calendar and Microsoft Outlook are supported. Confirmations and reminders are sent automatically.

Beforehand, a flow can ask what the appointment is about. So you know in advance whether someone needs a first consultation or has a question about an ongoing job. If you use a different booking system, talk to us. We can't promise a connection across the board.

Notifications to the right people

For every new lead, an email can go to you or your sales team. When the bot hands a conversation over to your team, the inbox notifies you in real time. Nobody has to keep an eye on it all day.

If nobody is available, the AI automatically takes over again. The conversation doesn't go unanswered, and your team can read it later in the inbox.

Webhooks, REST API and CRM export

Leads can be exported from the list and imported into your CRM. If you want this to happen automatically, webhooks send new leads or conversations to other systems, such as your CRM, your ticketing system or your own automation.

For your own integrations there is a REST API, from the Professional plan. You'll find the documentation in the dashboard under "API token". We don't promise a ready-made connection to any particular CRM. Whether your system accepts the data is something we're happy to check with you beforehand.

How do I find out about a new lead?

By email, as soon as the lead is captured. You'll find it in the lead list in the dashboard, together with the conversation.

Which calendars are supported?

Calendly, Google Calendar and Microsoft Outlook. The bot shows free slots in real time, and confirmations and reminders are sent automatically.

Do leads go into my CRM automatically?

Via webhook or the REST API, yes. Without a technical integration, you can export the lead list. We're happy to look at whether your CRM accepts the data together with you.

What happens to enquiries when nobody is in the office?

The bot answers them from your sources, captures contact details and books appointments if that's set up. Everything else is waiting in your inbox the next morning with all the details.

Can the bot pre-sort leads by my criteria?

Yes. Using a flow, it asks the questions your sales team would otherwise ask in the first call and branches depending on the answers. The details are then stored with the lead.
