The situation

A visitor on his lunch break

Tuesday, 12:50 pm. A man is sitting in the canteen, looking at a joinery's website on his phone. He has a loft flat and wants to know whether they also build fitted wardrobes under sloping ceilings. The references page shows kitchens. There's a contact form, but he doesn't feel like filling it in right now.

Two minutes later his lunch break is over and the tab is closed. The joinery never finds out that this enquiry almost happened.

With a chatbot, he simply types his question into the window in the bottom corner. He gets an answer from the joinery's service pages. And because he likes the answer, he's happy to leave his email address for a quote.

The right moment to ask for contact details

You decide when the bot asks for contact details. With a pre-chat form right at the start, asking for name, email and phone. That suits you if you want to capture every contact. Or only after a few messages, once the visitor has already had an answer.

The third option is usually the friendliest. The bot asks during the conversation, as soon as someone wants a quote, a call back or more information. Then there's a good reason to ask, and the visitor can see it too.

Contact details that are actually correct

A lead with a wrong email address isn't a lead. That's why the bot validates input automatically. An address without an @ or a phone number with letters in it won't be accepted, and the bot asks for a correction while the visitor is still there.

The details go into the contact profile and into lead management in My-Chatify. Only ask for what you really need for the next step. For a quote, an email address is often enough. The shorter the question, the more likely people are to answer it.

Where the leads go

Every new lead triggers an email notification to the addresses you specify. The lead list shows every contact along with the conversation it came from. So your team sees not just a name, but also what the person wanted to know.

From there you export leads to your CRM or send them automatically to other systems via webhook. If you want to build your own integration, you can also use the REST API.

Inviting visitors without being pushy

You decide what the small speech bubble next to the chat icon says and how the bot greets people, separately for each of the six languages if you like. A specific invitation such as “Questions about made-to-measure furniture?” usually works better than a generic “How can I help?”.

From the Professional plan, the same bot also collects contacts from WhatsApp, Instagram and Facebook Messenger. Those leads end up in the same list as the ones from your website.

Doesn't a pre-chat form put visitors off?

Some, yes. That's why you can also ask for contact details only after a few messages or when there's a specific reason. Try out what works better with your visitors.

What details does the bot ask for?

That's up to you. Name, email address and phone number are typical. Email and phone are automatically checked for validity.

How do I find out about a new lead?

By email to the addresses you specify. Every lead is also listed in the lead list in My-Chatify, together with the conversation.

Will the leads reach our CRM?

You can export the lead list or send leads on via webhook, and there's also a REST API. We don't promise a ready-made integration with any particular CRM. We're happy to check with you beforehand whether your CRM can accept the data.

Is lead capture via chat GDPR-compliant?

The data is stored on servers in Germany or the EU, transmission is TLS-encrypted, and it isn't used to train AI models. We'll provide a DPA. Our article on chatbots and the GDPR explains what you should state on your website.
