The call back that wasn't needed

Wednesday, 8:30 am. Five new enquiries from the contact form are waiting at the agency. A colleague calls them back one after another. The first wants a new website in three weeks, with no budget. The second only wanted to know whether the agency does logos too.

By lunchtime he has made five calls and found one enquiry that's a good fit. He'd have liked to call that one first. He just didn't know which one it was.

The right questions, in the right form

Start with your sales team. Which questions do they always ask on the first call? That becomes the flow. Fewer questions are better than many. Three or four are usually enough to place an enquiry.

Wherever possible, use buttons instead of free text. A budget range is quicker to click than a number is to type, and the answers are easier to compare later. Numbers, email addresses and phone numbers are validated automatically.

Different paths depending on the answer

In the Flow Builder, the conversation branches depending on the answer. Someone describing a bigger project is offered an appointment from your calendar straight away, via Calendly, Google Calendar or Outlook. Someone with a small question gets the information and a link to the right page.

The training provider BITLC uses this for prospective learners. A single flow leads from the first question through advice on the education voucher to registration. The result: 34 additional registrations per month and 48 % fewer drop-outs before the advice session.

What your sales team sees the next morning

The bot saves the answers in the contact profile. In the lead list, your sales team sees each contact with the whole conversation and the answers to the qualifying questions. An email arrives for every new lead.

So the first call doesn't start from zero. Your colleague already knows it's about a relaunch in May and can talk about the project instead of the basics.

What the bot doesn't decide

The bot collects details and shows people the way. Who gets an appointment and which offer fits in the end is decided by your team. An enquiry that looks small in the flow can still turn out to be interesting in conversation.

Only ask in the chat for what you need to place the enquiry. Proof of income, health data or confidential documents don't belong in a chat window. They come later, through whatever channel you normally use for them.

How many questions should the flow ask?

As few as possible. Three or four questions are usually enough to place an enquiry. Every extra question makes it more likely that someone gives up halfway.

Can the bot score leads automatically?

It sorts them through the branches in the flow: depending on the answer, the prospect gets an appointment, a call back or information. The answers are stored with the lead, and your sales team makes the final assessment.

Can the flow ask for numbers, such as team size?

Yes. As well as email addresses and phone numbers, the bot validates numbers too. The answer is saved in the contact profile, and you can branch the flow based on it.

Can the bot book an appointment directly?

Yes, from the Basic plan. It offers free slots from Calendly, Google Calendar or Outlook, and the prospect books directly in the chat.

Can the answers be transferred to our CRM?

Leads can be exported or sent on via webhook, and there's also a REST API. We're happy to check with you beforehand whether your CRM accepts the data in that form.
