Monday morning after a new listing

Friday, 11:40pm. The two-bed flat near the park went online that afternoon. Someone types: ‘still available?? is there a lift, my mum would visit a lot’. The lift is mentioned on page one of the brochure.

By Monday you're looking at a long list of messages like that. Some people really want a house to buy. Some can't stretch to the rent. A few are exactly the tenants you're after, and you only find out which after a round of phone calls.

Property managers get the same thing with different questions: when's the utility statement coming, who do I call about the heating, how do I report a leak.

Brochure questions, answered from the brochure

Upload your brochures as PDFs or let the bot crawl the listing pages on your website. It then answers questions about floor area, floor level, heating, energy certificate or parking with what's written there.

Once a property is let or sold, remove it from the sources or have the website re-crawled regularly. Things the brochure doesn't mention, like whether the landlord allows cats, the bot won't make up. It says it doesn't know and offers to pass the question on.

Sorting enquiries before you pick up the phone

In the Flow Builder you set a few questions the bot asks during the chat. Phone numbers and email addresses are validated, so you don't end up with typos in your leads.

The answers are collected in your leads list, and you can get an email for each new one. CRM export and webhooks let you pass them on to your property software, as long as it can take them in.

Booking viewings without the back-and-forth

If an enquiry fits, the bot offers free viewing slots. It works with Calendly, Google Calendar or Outlook, so with the calendar you already keep.

For group viewings, set up time windows. The booking lands in your calendar and the details from the chat sit with the lead.

For property managers: tenant questions

Tenants would much rather send a WhatsApp than write to the management office. From the Professional plan, the same bot answers there with the same knowledge as on your website: house rules, bin collection days, who to call for the caretaker.

If someone sends a photo of a damp patch on the ceiling, the bot acknowledges it and the image is kept with the conversation in your inbox. Who comes out, and who pays, is still your call.

Does the bot know which properties are already gone?

Only if its sources say so. The easiest way is to have your listing pages re-crawled automatically, daily or weekly. For a PDF brochure, just delete it from the sources.

Can it connect to our property software?

We don't have ready-made integrations with specific agency or property management software. Leads can be exported or sent by webhook, and we're happy to check with you if your software can take them.

Our tenants mostly use WhatsApp. Does that work?

Yes, from the Professional plan. If you reply yourself in the WhatsApp Business app, the bot notices and stays out of it. After about 30 minutes without activity from your team, it picks things up again.

How do you handle applicants' data?

It's stored on servers in Germany/the EU, connections are TLS-encrypted, and we provide a data processing agreement. None of it is used to train AI models.

Can several colleagues see the conversations?

Yes. Everything lands in the shared inbox, including WhatsApp and Instagram messages. Whoever takes over sees the whole conversation so far.
