When one appointment takes five emails

Tuesday, 12:40. A physiotherapy practice receives a request for a first appointment through its contact form. The practice suggests Thursday, the patient can only do afternoons, the next suggestion doesn't work either. By the time the appointment is fixed, five emails have gone back and forth.

Yet the practice has its free slots in a calendar already. The patient just can't see that calendar, and between two treatments nobody has time for emails.

With the calendar connection, the bot shows free slots right in the chat. The patient picks one and it's in the calendar. The bot has already asked who is coming and why.

For appointments with fixed time windows, such as group viewings or reservations, you set up those windows. The appointment still lands in your calendar.

Ask first, then book

In the Flow Builder you decide what the bot should know before booking, without any programming. What's it about? First visit or follow-up? Which car for the test drive? Depending on the answer, the conversation branches.

The bot checks phone numbers and email addresses for validity along the way. Typos get caught before you fail to reach someone.

After the booking

Whatever was clarified in the chat is stored with the lead. Your colleague sees what it's about before the appointment and doesn't have to start from scratch. New contacts are also reported by email.

If someone wants a call-back rather than an appointment, or none of the free slots suit them, the bot takes the request with all the details. It's then waiting in your inbox.

Calendly, Outlook and other systems

Besides Google Calendar, Calendly and Outlook are connected directly too. If you use a different booking system, the bot gives the link to it or takes down the appointment request. Some things can be connected through webhooks and the REST API, but we can't promise that across the board.
