The Monday after the weekend

Monday, 8:00. A small shop's inbox has 37 new emails. Eighteen of them ask, in one way or another, where an order is. Seven want to know how returns work. Three ask whether you deliver to Switzerland.

For each status question, someone looks up the order in the back end, copies the status and writes a friendly reply. It isn't hard, but it takes all morning. The one email about a damaged parcel slips further down the list.

With order support in the chat, those eighteen people get their answer over the weekend. On Monday, the inbox mostly holds what genuinely needs a person.

What you get

Order status by order number

In Shopware shops, the bot asks for the order number and looks up the status directly. The customer gets the answer right away, and your team never receives the email. The bot needs nothing more than the order number. Nobody has to type their date of birth or address into the chat.

This lookup is currently only available for Shopware. In Shopify and other shops, the bot answers general questions about shipping and returns and passes questions about individual orders to your team.

Shipping and returns on your terms

Delivery times, shipping costs, delivery countries, return period, return label: the bot takes these answers from your shipping page, your returns policy or question-and-answer pairs you create.

It's worth taking a critical look first. Does the returns page say the same as your terms and conditions and the leaflet in the parcel? If not, customers get different answers depending on which source the bot finds more relevant.

If delivery times change, for example before Christmas, update the text on your shipping page. With automatic re-crawling, the bot then answers with the new information.

What the bot passes to your team

A parcel that tracking says was delivered but never arrived. Goods that arrived damaged. A goodwill request. The bot shouldn't argue these away. It hands over to your team, who see the whole conversation including the order number in the inbox.

The bot can't change or cancel orders or correct an address. That comes to you too, with all the details the customer has already given.

What data does the bot need for a status lookup?

The order number. It doesn't ask for anything else, such as date of birth or address, and you shouldn't set it up to.

Can the bot create a return or issue a refund?

No. It explains how returns work in your shop and where the customer finds the label. Whether a return is accepted or money refunded is up to your team.

What happens when lots of customers write at once?

The bot handles each conversation on its own, so there's no queue like on the phone. Your team only sees the cases it can't resolve or where someone explicitly asks for a person.

Can customers send a photo of damaged goods?

On WhatsApp, customers can send images and files, which are saved with the conversation in the inbox. WhatsApp is included from the Professional plan.

Does this work with Shopify?

Partly. The bot answers shipping and returns questions in any shop, and it searches products live in Shopify too. Looking up order status by order number is so far only available for Shopware.
