Analytics: understand what your customers are asking

Every chat conversation tells you something about what your customers want to know. Analytics shows how busy it was, what was asked most often and where the bot had no answer.

A hotel website in the Sauerland, Saturday, 21:30

The situation

Two weeks after going live

Monday, 8:30 am, a small hotel in the Sauerland hills. The chatbot has been running on the website for two weeks. The owner opens the analytics for the first time, with her first coffee and no great expectations.

At the top of the most frequent questions isn't the room rate, it's whether dogs are allowed. The unanswered questions include the EV charging point three times and the vegan breakfast twice. Nobody ever wrote either down, because someone on the phone always knew the answer.

Ten minutes later there are two new Q&A pairs. That's what analytics is for: a to-do list your customers write for you.

In detail

What you get

What you see in analytics

In the dashboard you see how many conversations there were and how that develops over time. You also see how many conversations the bot resolved on its own and how often it handed over to your team. The most frequent questions have their own list.

If the bot captures leads, you can also see how many conversations led to a contact. Analysis is GDPR-compliant.

  • Conversation volume and trends
  • Automation rate and hand-off rate
  • Most frequent questions
  • Lead tracking and conversion rate

The list of unanswered questions

If an answer isn't in any of your sources, the bot says so instead of guessing. The question then shows up under unanswered questions. For most businesses this is the most useful list in the whole dashboard, because it shows quite precisely what is missing from the documents.

We work this way ourselves. PixelConsult uses My-Chatify for support on its own software, where the bot answers 2,100 questions a month automatically. What it couldn't answer, we see in analytics, and with it the places where the documentation has gaps.

Basic and advanced analytics

Basic analytics are included even on the free plan. They cover message count, active sessions and frequent questions.

From the Professional plan, advanced analytics are added, with conversation histories, usage trends and performance metrics. That is especially worthwhile when conversations pile up and you want to take a closer look.

  • Basic: messages, active sessions, frequent questions
  • Advanced: conversation histories, usage trends, performance metrics
  • Advanced analytics from the Professional plan

Turning the numbers into action

Analytics is only worth what you do with it. For an unanswered question there are usually three options: create a Q&A pair, add to a document, or decide that the question belongs with a person anyway.

In the first weeks after launch it pays to look regularly; after that, once a month is usually enough. After each change, check in the Playground that the answer now comes through.

How it works

How to work with analytics

No coding, no IT project. Live in under 3 minutes.

  1. 01

    Let real questions come in

After launch, let the bot run for a week or two. Before that, the list doesn't tell you much.

  2. 02

    Go through the unanswered questions

For each gap, add a Q&A pair or the right document, or decide that a person should take over here.

  3. 03

    Double-check in the Playground

Ask the question again and see whether the answer is right now. Later on, a monthly look is usually enough.

FAQ

Frequently asked questions

Answers to the questions we hear most often about this topic.

Which figures do I see on the free plan?

Basic analytics: message count, active sessions and frequent questions. Advanced analytics are added from the Professional plan.

What goes on the list of unanswered questions?

Questions the bot couldn't find an answer to in your sources. It told the customer so, rather than making something up. For you, the list points to the content that is still missing.

Can I see how often conversations were handed to my team?

Yes. The automation rate and hand-off rate show how many conversations the bot resolved on its own and how many ended up with your team.

How often should I look at analytics?

Regularly in the first weeks after launch, because that's when most gaps come to light. After that, once a month is usually enough.

Is analytics GDPR-compliant?

Yes. Analysis is GDPR-compliant, on servers in Germany or the EU. We provide a data processing agreement (DPA).
