When enquiries arrive after the office has closed

Wednesday, 7:30 pm. A woman was handed her notice at work today. She's looking for an employment lawyer, finds your website and wants to know two things: does she need to act quickly, and when can she come in? Your office closed two hours ago.

Maybe she sends an email. More likely, she ends up the next morning with whichever firm offers her an appointment first.

Kanzlei am Wallring, a law firm, saw this in their own numbers: 63 % of their enquiries come in outside office hours. Now a flow asks for the area of law and how urgent it is, then books the first meeting directly. The firm has had 41 % more first consultations booked and saves 6 hours a week in the office.

Booking appointments right in the chat

The bot works with the calendar you already use: Calendly, Google Calendar or Outlook. Customers pick an appointment in the chat without leaving the page. No back-and-forth by email, no "please call me back" on the answerphone.

Before booking, the bot can ask what it's about. That way you know ahead of time whether someone's coming about a rent increase or an inheritance, and can schedule the right colleague. You set the questions in the Flow Builder. Phone numbers and email addresses are validated, so typos get caught straight away.

For practices, law firms, consultancies and garages, the main saving is phone time. Appointments that would otherwise be squeezed in between two other calls get booked by the customer. On Sundays, too.

First advice drawn from your own expertise

Before booking, plenty of people want to know whether they've come to the right place. Does the firm handle family law? Does the practice see children? What should I bring to my first meeting with the tax adviser? The bot answers questions like these from your texts, info sheets and FAQs.

It sticks to what you've given it. It knows your services, how a first consultation works at your place and what it costs, if you've written that down. What it won't do is assess an individual case. Whether a dismissal is valid or a rash is harmless is for you to judge in the appointment.

That's deliberate. Legal and medical advice belongs with you, and the bot says exactly that, kindly, along with an offer to book a slot. You can store how it should respond to such questions, for example as a Q&A pair, and test it in the Playground before going live.

A digital receptionist

A good receptionist listens and then asks exactly what the colleague will need later on. Nothing fancy, just reliably done. The bot can take over that job whenever the front desk is empty.

It takes every enquiry, including the ones at 11 pm. It asks for a name, how to get in touch and what the matter is, then branches based on the answer, so something urgent follows a different path from a billing question. The enquiry lands in your inbox with all the details, and new contacts also trigger an email.

If someone's around, your team can take over in live chat and see the full history. If not, the bot collects everything you need to call back the next morning. Nobody has to leave a message on a machine and hope someone listens to it.

Which calendars are supported?

Calendly, Google Calendar and Outlook. If you use a different booking system, get in touch. Some things can be connected through webhooks and the REST API, but we can't promise that across the board.

Is a chatbot allowed to give legal advice?

Ours isn't supposed to. It informs people about your services, your process and what documents they need. Assessing an actual case belongs in a conversation with you, and that's where the bot sends them.

Can the bot respond differently depending on the area of law or specialty?

Yes, with a branching flow. Kanzlei am Wallring, for example, asks for the area of law and urgency and then books the matching first consultation. A medical practice can do the same with specialty or type of appointment.

What happens to enquiries that come in at night?

The bot takes them, asks the questions from your flow and books an appointment if that's what the person wants. Everything else is waiting in your inbox the next morning with all the details.

How secure is the data?

Data is stored on servers in Germany and the EU, and transfers are TLS-encrypted. Conversations are never used to train AI models, and each assistant has its own separate data store.
