An AI chatbot for law firms and tax advisers

The bot doesn't give advice. It takes first enquiries, asks about the area of law and how urgent things are, answers practical questions and books the meeting where you do the advising.

  • No legal or tax advice
  • Initial consultations booked straight in

Man thoughtfully reading a letter at the kitchen table
The situation

When most enquiries arrive

At Kanzlei am Wallring, 63% of enquiries come in outside office hours. Not surprising, really. People read the letter from their landlord in the evening, at the kitchen table, and that's when they want to know whether someone can help.

Wednesday, 10:05pm. ‘My landlord wants me out by the end of March, says he needs the flat for his daughter. Is that even allowed?’ A lawyer gives the answer to that. A bot can make sure there's an appointment on Thursday morning and the firm already knows what it's about.

In detail

What you get

Structuring first enquiries

A flow asks for the area of law, whether a deadline is running and how pressing things are. Name, email and phone number are validated before the enquiry reaches you. If the case fits your firm, the bot offers a slot for an initial consultation.

If it doesn't, say because you don't do family law, it tells them honestly and saves both sides a phone call.

Where the line is

The bot gives no legal and no tax advice. Asked whether a notice is valid or what's deductible, it doesn't answer on substance; it points to a conversation with you. You write that reply yourself and test it in the Playground with exactly those questions.

Practical questions are another matter: what an initial consultation costs if you publish that, how to find you, what to bring along.

Kanzlei am Wallring: more initial consultations

At Kanzlei am Wallring, a flow asks for the area of law and urgency, then books the first meeting directly. Booked initial consultations are up 41%, and the office saves 6 hours a week.

  • 41% more booked initial consultations
  • 63% of enquiries outside office hours
  • 6 hours a week saved in the office

Heppe Steinborn Henczka: tax season

At a tax firm it's less about new clients and more about the same questions coming round every year. When's the deadline for my return, which receipts do you need. At Heppe Steinborn Henczka, the bot answers questions on deadlines and document checklists, and new clients get the right checklist through a flow.

The result: 56% fewer follow-up phone calls in tax season. Those are exactly the weeks when a ringing phone hurts most.

FAQ

Frequently asked questions

Answers to the questions we hear most often about this topic.

What does the bot say when someone asks a legal question?

Nothing on substance. It says it doesn't give legal advice and offers an appointment or a call back instead. You set the exact wording.

What about client confidentiality?

Data is stored on servers in Germany/the EU, transmission is TLS-encrypted, a DPA is available and conversations aren't used to train AI. Whether that meets your professional obligations is for you to check. Either way, we'd recommend not asking for case details in the chat.

Can new clients send documents through the chat?

On WhatsApp, customers can send images and files, which are stored with the conversation. For tax documents that's rarely the right route; better for the bot to point to your client portal or usual upload.

Does it work with our firm's calendar?

You can connect Calendly, Google Calendar or Outlook directly. If your firm runs on Outlook, it's set up quickly.

What difference does it actually make?

At Kanzlei am Wallring, 41% more booked initial consultations. At Heppe Steinborn Henczka, 56% fewer follow-up calls in tax season. How it plays out for you depends on how many enquiries reach you online.
