An AI chatbot for training providers: from first question to enrolment

People looking into a course have plenty of questions and little appetite for phone calls. The bot answers from your course descriptions, explains how the Bildungsgutschein (education voucher) works and takes them through to enrolment or a consultation.

  • Course content and start dates
  • Education voucher explained step by step
  • Consultations booked in the chat

The situation

Where people drop out

Wednesday, 11:15pm. A man who has just finished his apprenticeship is reading your page on the IT support course. He writes: ‘is there a part time version? i work shifts. and does the arbeitsagentur pay for it’

By Thursday lunchtime he's found two other providers. For training providers the road to enrolment is long: content, start date, in person or online, funding, consultation, paperwork. People can drop out at every step, usually at the one where a question goes unanswered.

In detail

What you get

Course questions, answered from your course pages

The bot learns from your course pages, flyers and module plans. It answers questions on content, length, class times, qualifications and entry requirements, and gives upcoming start dates if they're on your website.

With auto-recrawl, new dates are picked up the next time the site is read. Things that aren't in any document, like which trainer runs a particular course, it won't answer off the top of its head.

The Bildungsgutschein: explain, don't decide

Whether someone gets a Bildungsgutschein is decided by the Agentur für Arbeit or the Jobcenter. The bot can't promise one and doesn't try. It explains the process the way you describe it: which of your courses are eligible, what to take to the appointment at the employment agency, what happens after that.

How BITLC does it

BITLC uses one flow to take people from their first question, through advice on the education voucher, to registration. The results: 34 additional course registrations a month and 48% fewer people dropping out before the consultation.

The bot doesn't replace the consultation. It gets people there.

  • 34 additional course registrations a month
  • 48% fewer drop-offs before the consultation
  • One flow from first question to registration

Consultations and enrolment

At the end of the flow, the bot offers a consultation slot via Calendly, Google Calendar or Outlook. Whatever was settled in the chat, the course, the start date, funding or not, sits with the lead. Your adviser doesn't have to start from scratch.

FAQ

Frequently asked questions

Answers to the questions we hear most often about this topic.

Can the bot check whether someone qualifies for a Bildungsgutschein?

No. That's for the Agentur für Arbeit or the Jobcenter. The bot explains the route and gets the person into a consultation with you.

We run a lot of courses with changing dates. Can it keep up?

Yes, as long as the courses are described on your website or in documents. Have the course pages re-crawled regularly and the dates stay current. The analytics also show which courses people ask about and where answers are missing.

Can people enrol directly in the chat?

The bot can collect everything needed for enrolment and hand it to you as a lead, or link to your registration form. There's no direct connection to your learner management system, but webhooks let you pass the data on.

Many of our prospective learners speak little German.

The bot replies in the language someone writes in, based on your German course descriptions. For language or integration courses that's often a real advantage.
