An AI chatbot for agencies: qualify enquiries, run bots for clients

We built My-Chatify as a web agency, out of client projects. So we know both sides: sorting your own enquiries, and setting up a bot for clients that runs under their name.

  • Budget and timeline before the first call
  • Leads into your CRM by webhook
  • White-label with logo and domain

The situation

Another discovery call that goes nowhere

Thursday, 3:10pm. A message through your contact form: ‘Need an app, how much?’ No budget, no timeline, no idea what the app is for. You reply, book a call, and twenty minutes in it turns out there's money for a landing page and they wanted it live last week.

That's nobody's fault. Most clients simply don't know at the start what you need to know. A bot can ask those questions in a friendly way, without it feeling like a form, and hand you a complete enquiry at the end.

In detail

What you get

Pre-qualifying project enquiries

In the Flow Builder you set the questions you'd otherwise ask on the first call. Depending on the answers, the conversation branches: someone after a small change goes down a different path from someone planning a relaunch.

At the end, the bot offers a slot from your calendar or adds the enquiry to your leads list. What it knows about your services comes from your service pages, references and case studies.

  • Project type and scope
  • Budget in ranges rather than free text
  • Ideal start date and deadline
  • Existing system, say WordPress or Shopware

Leads where you actually work

New leads arrive by email, sit in the leads list and can be exported to your CRM. With webhooks or the REST API you send them on automatically, into a project tool or your own automation.

White-label for your clients

Plenty of agencies set the bot up for their clients. With white-label it carries the client's logo and colours and runs on its own domain. That's available on the higher plans.

Each client gets their own assistant with its own isolated vector database, so content from one project never turns up in another's answers. On the client's side, installation is one script tag, and the widget runs in WordPress, TYPO3, Shopware, Webflow and the other usual systems.

A note from our agency days

A bot is quick to install. It only gets good when someone spends the first few weeks looking at the analytics and filling the gaps. Price that in as a service for your clients rather than throwing it in for free.

How it works

Getting your agency bot running

No coding, no IT project. Live in under 3 minutes.

  1. 01

    Upload services and references

Let the bot crawl your service pages and add case studies as PDFs.

    Build a qualifying flow

Project type, budget, timeline, existing system. That's enough to start with.

  3. 03

Connect your CRM and add the widget

Set up a webhook or export, put the script tag on your site, test, go live.

FAQ

Frequently asked questions

Answers to the questions we hear most often about this topic.

Can we run the bot under our clients' names?

Yes, with white-label it appears with the client's logo, colours and own domain. How you bill your clients is up to you. If there are a lot of client projects, the Enterprise plan is the better conversation.

Is our clients' data kept separate?

Yes. Every assistant has its own isolated vector database. Content is never shared between clients and never used to train AI.

Can it plug into our existing automations?

Through webhooks and the REST API, yes. New leads or conversations can flow into your CRM, project tool or your own scripts.

Which AI model does it use?

You choose between models from OpenAI, Google Gemini and Anthropic during setup. The more advanced models are in the paid plans.

How much looking after does a bot need?

Less than you'd think, but not none. In the first few weeks, check the unanswered questions regularly and add to the sources. After that, a look once a month usually does it.
