Why good prospects slip away on your website

Thursday, 10:15 pm. A practice manager is reading an IT provider's services page after work. She has one specific question: do they look after practices with two sites? The contact form wants her name, company, phone number and a message. She closes the tab and makes a mental note to call tomorrow.

Tomorrow usually doesn't happen. That's not her fault. A form is a hurdle, and nobody's picking up your phone at that hour anyway.

In a chat the same question feels smaller. The bot answers it from your material and, when the moment is right, asks for contact details. Next morning the lead is with your sales team, along with the question that started it.

A chatbot collects contacts the other way round. The visitor gets an answer first and gives their details afterwards. That's really the whole trick.

You decide when the bot asks for contact details. Before the chat starts, using a pre-chat form, if you want every contact on record. Or halfway through, once someone asks for a quote or a callback. Email addresses and phone numbers are validated, so you won't end up with "asdf@" in your list.

Every new lead triggers an email notification. The leads list shows each contact alongside the conversation it came from. From there you can export to your CRM or push leads automatically via webhook.

Lead qualification: the bot asks the first questions

Your sales team probably opens every first call with the same handful of questions. How big is the business, when do they want to start, what are they using now. The bot can ask those, politely and without it feeling like an interrogation.

You put the questions together in the Flow Builder without code, and branch depending on the answers. Someone describing a larger project gets offered a callback or a meeting. Someone who's just browsing gets information and a link to the right page. Your team sees every answer in the lead, so the first call doesn't start from scratch.

BITLC, a further-education provider, shows how this plays out. Their flow takes people from the first question through advice on the Bildungsgutschein (Germany's state-funded education voucher) all the way to registration. That brought 34 additional course registrations a month and 48 % fewer drop-offs before the consultation.

Selling in the chat without being pushy

A lot of buying decisions hinge on one unanswered question. Does this package suit a team our size? Is there a discount for charities? If nobody answers, people buy elsewhere or not at all.

The bot answers these from your service descriptions, price lists and terms, exactly as you've written them. It won't invent discounts or promise delivery dates that aren't written down anywhere. That sounds obvious. It's also precisely why it only answers from your own sources.

When a prospect wants to go further, the bot points them to the next step: a meeting with your sales team booked through Calendly, Google Calendar or Outlook, a callback, or a colleague in live chat. A person closes the deal. Which is how it should be.

Don't chatbots annoy visitors?

They do if they keep popping up uninvited. You decide what the chat bubble says and how the bot greets people. Anyone who doesn't want to chat can simply leave it closed.

Which CRM does it work with?

Leads can be exported, sent to other systems via webhook, or pulled through the REST API. Whether and how your CRM accepts that data is something we're happy to check with you beforehand. We won't promise a ready-made connector for a specific CRM here.

Can the bot write quotes?

No. It answers questions from your material and collects the details your team needs to put a quote together. The quote itself comes from your people.

Who receives the leads?

Every lead is stored in the leads list in My-Chatify, with the conversation attached. On top of that, each new lead sends an email to whichever addresses you set up.

Is this GDPR-compliant?

Data is hosted on servers in Germany and the EU and is never used to train AI models. We provide a data processing agreement (DPA). Our article on chatbots and GDPR explains what you should mention on your own website.
